House Policies, Terms of Use & Privacy Agreements

Grounded in our F.A.M.I.L.Y. Core Values, these unified operational guidelines govern our web platform, mobile app ecosystem, and physical play spaces to protect the safety, legal health, and emotional well-being of our collective neighborhood community.

1. Restorative Behavior Guidance

Family Room Chicago utilizes a positive redirection model designed to support children as they naturally develop emotional self-regulation. We explicitly reject outdated, punitive measures or standard isolation timeouts. Instead, our team guides behaviors through cooperative engagement:

  • Positive Redirection: Staff communicate calmly, up-close, and at eye level, offering children intentional, acceptable choices.
  • The "Time-In" System: If a child needs support to regain physical or emotional control, they are gently invited to a designated open comfort area within direct sight of staff to rest and recalibrate.
  • Reflective Discussion: Once calm, staff act as coaches, helping children identify behavior conflicts and discover positive choices.
  • Parent Collaboration: If a persistent pattern of disruption happens, site directors align directly with parents to review social goals. Aggressive actions that endanger the safety of others will result in prompt parent alignment, suspension, or permanent club removal.

2. Caregiver Open Play House Rules

During Caregiver-Present Open Play hours, our team acts as community hosts, facilitators, and protectors of our shared culture. Rather than using rigid warning signs, we enforce 5 simple agreements that every adult must warmly model:

  • Choose Joy: We operate as a brave space built on curiosity. We assume the best intent in everyone and treat meltdowns with empathy and a calm face.
  • Respect Everyone: Children are treated as absolute equals. We practice asking children for gentle verbal consent before joining their play grids or cleaning their spaces.
  • You're in Charge: Open play is not a drop-off childcare hour. Caregivers remain fully responsible for their little ones, step in to guide physical safety, and empower children to confidently lead their own play steps.
  • Tidy Up Together: Our team members are not silent maids. We encourage collective responsibility by turning cleanup into a cooperative game with the kids before transitioning to new rooms.
  • Eat Mindfully: To protect children managing severe allergies, all snack and beverage steps must stay entirely contained to our designated dining table suites.

3. Drop-In & Autonomous Supervision Boundaries

Staffed Hours vs. Unstaffed Autonomous Access

Family Room Chicago offers two distinct operational modes. It is the sole responsibility of the member to know which mode the facility is operating under at the time of entry:

  • During Staffed Operational Hours: Our team acts as community hosts and protectors of our shared culture. Open play is never a drop-off childcare hour. If a parent is checked out and a child is consistently unsafe, our team enforces a 5-minute grace period before executing a direct hand-off of the child back to the caregiver.
  • During Unstaffed Autonomous Hours: The facility is completely unstaffed and unmonitored by physical personnel. There is no staff backup, no grace-period monitoring, and no childcare assistance. Caregivers are 100% solely, exclusively, and legally responsible for the constant physical supervision, safety, behavior guidance, and well-being of their children. Children may never be left unattended in any room or suite for any duration of time.

4. Transit, Drop-Off & Custody Handoffs

Hand-to-Hand Chains of Custody

Children are never permitted to enter or exit any of our locations unescorted under any circumstance. All arrivals and departures require an active, documented hand-to-hand check-in verified securely via our WordPress/WooCommerce account interface or verified check-in station. Alternative pickups outside your secure account profile must be authorized via our digital portal in advance, and the designated adult must present a valid government-issued photo ID at the desk.

Zero-Vehicle Transit Policy

To insulate our groups against urban transit dangers, Family Room Chicago strictly rejects any form of motorized vehicle or bus transport. We manage after-school pick-up logistics using a carbon-neutral footprint:

  • Walking School Lines: For neighborhood schools located within a safe 20-minute walking radius of our broadway spaces, our background-checked team conducts hand-to-hand dismissals with school lines and escorts children back to the club.
  • On-Site Satellites: For schools outside our physical walking footprint, our licensed team works directly inside the native school building to run our afternoon curriculum safely on-site.

Punctual Closing Window & Late Pickups

Our after-school tracks conclude promptly at 6:30 PM, providing working parents a realistic workday buffer. If a parent is missing 10 minutes past closing, emergency contacts are instantly phoned. While we support unexpected traffic crises, chronic late arrivals past closing boundaries will trigger automatic administrative surcharges applied directly to your card on file handled via Stripe.

5. Daily Health & Allergen Sanitization

Allergen Containment Protocol

Family Room Chicago is an allergy-aware, nut-free facility. Because we operate under a Bring Your Own (BYO) food model during open play, parents may occasionally bring in high-risk snacks unknowingly. Our team steps in immediately for safety containment:

  • We politely guide the caregiver to keep the allergen contained to the table area and kindly request hand and face washing before returning to the toys.
  • The moment the family leaves the dining space, our staff instantly disinfects the entire table, seating frame, and floor zone using target sanitizers left for a full 3 minutes to break down allergen oils and proteins completely.

Medical Cleanliness Measures

Every square foot of our flooring, sports mats, and toy inventory undergoes daily environmental sanitization loops. We use commercially proven, medical-grade products that are highly effective against germ and viral tracking, yet remain 100% child-safe, non-toxic, and organic.

Sick Child Exclusions

To preserve the health profiles of our spaces, children must remain home if they present a fever of 100.4°F or greater, open skin rashes, diarrhea, active vomiting, or a persistent chronic cough. Children must be entirely symptom-free for 24 hours without medication before returning to the facility floors.

6. Financial Contracts, Private Parties & BYO Host Liability

Membership Terms & Access Roles

Membership grants space access during regular operational hours and includes coverage for all immediate family members living in the same home, plus one (1) authorized family caregiver. Membership options are reserved for families with at least one child under the age of 14. All children must be actively accompanied by their designated adult during open programming.

  • Monthly Flex Membership: Cancellation requires an explicit, written 30-day notice submitted via email to team@familyroomchicago.com. Automated billing via WooCommerce/Stripe will proceed through your card on file for the duration of the 30-day operational wind-down window, during which you maintain full space access.
  • Annual Membership: Requires the complete fulfillment of the designated 12-month term layout, unless otherwise modified by applicable Illinois and Chicago consumer protection laws.
  • Initiation & Onboarding Fees: All setup, account configuration, and initiation fees are strictly non-refundable.

Party, Special Event & BYO Host Liability Agreement

  • Deposits & Schedule: Reservation of a private party slot requires a 50% non-refundable deposit processed immediately at checkout. The remaining balance (bringing the account to 100% paid) must be settled in full within 30 days of the initial booking or as outlined in your event contract.
  • Non-Licensed Venue Status: Family Room Chicago LLC is strictly a children's activity space and community hub. We are not a licensed liquor establishment, bar, or commercial food service provider. We do not sell, serve, dispense, supply, or monitor food, beverages, or alcohol.
  • Host Assumption of BYO Responsibility: The individual or entity booking the private event (hereafter referred to as the "Host") assumes 100% exclusive legal, civil, and financial responsibility for all food, catering, non-alcoholic beverages, and alcohol brought into the facility by themselves, their vendors, or their guests.
  • Impairment & Off-Premises Liability Waiver: The Host acknowledges that Family Room Chicago LLC does not monitor guest sobriety. The Host is solely and strictly responsible for managing the consumption of any bring-your-own (BYO) alcohol on the premises. Family Room Chicago LLC explicitly disclaims any liability for personal injury, property damage, vehicular accidents, or wrongful death occurring on or off our premises resulting from a guest becoming impaired, intoxicated, or otherwise incapacitated at the event and subsequently operating a vehicle or engaging in unsafe conduct.
  • Mandatory Host Indemnification: By completing a private event booking, the Host agrees to protect, defend, indemnify, and hold harmless Family Room Chicago LLC, its members, managers, and employees from any and all claims, lawsuits, liabilities, damages, or enforcement actions brought by event guests or third parties arising out of or related to food consumption, food-borne allergens, alcohol consumption, intoxication, or transit accidents following the conclusion of the event.
  • Strict Minor Protection Rule: In strict compliance with Illinois social host laws, the consumption of alcohol by individuals under the age of 21 is absolutely prohibited inside our facilities under any circumstance. The Host assumes absolute liability for ensuring zero minor access to adult beverages during their private rental window.

Classes & Rebooking Credits

  • Refund Policy: All localized individual classes, educational tracks, and seasonal semester enrollments are non-refundable unless explicitly detailed otherwise or granted directly by facility directors.
  • Account Credits: Credits for programmatic rebookings may be assigned in rare circumstances at the sole operational discretion of management.

Strict No-Prorating & Anti-Stacking Rules

To maintain secure living wages for our career staff and guard high-value physical property leases, our operational templates are fixed. When a seat is booked for an after-school month or camp block, that slot is legally reserved exclusively for your family. We do not provide pro-rated refunds, tuition deductions, or carry-over credits for missing individual days due to personal vacations, illness, behavior suspensions, or standard city school calendar closures.

Active after-school families enjoy an exclusive 15% discount on single Day-Off School Camps. However, to maintain structural margins, promotional codes and member privileges cannot be stacked under any circumstance. Total program tracking discounts are strictly capped at a 15% maximum threshold per account.

7. Facility Security, Privacy & Welcoming City Status

Private, Authorized Access Only & Autonomous Security

Our facility utilizes an automated, secure digital access system. Access during autonomous hours is a premium, high-trust privilege restricted strictly to active, verified members. To protect our community, the following access rules are strictly enforced:

  • Zero Credentials Sharing: Members are strictly prohibited from sharing their digital access keys, mobile account credentials, or entry codes with any non-member or unauthorized individual.
  • Strict Anti-Tailgating Rule: Your digital key grants entry only to your immediate family and your designated caregiver. You are strictly prohibited from holding the door open for, or allowing entry to, any trailing individuals or non-members. Every unique family must scan their own secure credential to cross the threshold.
  • Continuous CCTV Monitoring Acknowledgment: For the safety of our community and property, our facilities are under continuous 24/7 video and audio surveillance recording. By utilizing autonomous access, you explicitly consent to being recorded. Video logs are routinely audited by management to verify compliance with entry and safety protocols.
  • Immediate Revocation: Any member found violating access safety rules, letting unauthorized individuals into the space, or leaving the entrance unbolted will have their membership instantly and permanently revoked without a refund.

Absolute Physical Privacy Standard

We guard the safety and digital privacy of our neighborhood families. Our team members are strictly prohibited from using personal electronic devices on the floor layouts, and they are legally barred from taking photographs or digital captures of children’s faces. Any digital captures highlighting clubhouse activities may only happen via secure company devices with explicit, written parent authorization forms.

Welcoming City Ordinance Alignment

The physical and emotional safety of our community is our absolute parameter. In strict alignment with Chicago's Welcoming City Ordinance, Family Room Chicago respects, honors, and shields the privacy of all local families, regardless of immigration status.

  • No Unauthorized Federal Access: External law enforcement or federal immigration officials (such as ICE) will be respectfully denied entry to the non-public or play areas of our facilities unless they present a valid judicial warrant signed directly by a judge.
  • Secured Perimeter Protections: In the event that agents request entry without a signed judicial warrant, our facility doors will remain securely locked. Officials will be instructed to slide documentation under the door or hold it up to the window for review while management is immediately contacted.
  • Information Privacy: Staff are strictly trained to maintain absolute confidentiality and are restricted from answering questions, sharing customer registration data, or disclosing member schedules without formal judicial mandates.

  • Targeted Advertising: We never utilize targeted tracking cookies or build marketing profiles focused on minors.
  • Physical Privacy Safety: Our physical staff are legally barred from using personal cell phones or digital devices on the play layouts. Any photos taken to highlight class activities are completed exclusively via secure, company-owned business tablets and require a signed photography authorization form on file. Faces are obscured or cleared to ensure anonymity if shared publicly without direct written consent.

11. Liability Waiver & Risk Assumption

The following provisions establish a binding legal agreement regarding your physical presence and participation inside Family Room Chicago LLC spaces. Please read this framework thoroughly before completing account enrollment.

PHYSICAL PREMISES LIABILITY WAIVER & RISK ASSUMPTION (UNSTAFFED FACILITY ADDENDUM)

By entering the physical premises of Family Room Chicago LLC (located at 3229 N Broadway, Chicago, IL 60657, and all associated operational footprints), utilizing its automated access systems, or participating in any community activities, you explicitly agree to the following terms:

1. Explicit Assumption of Unstaffed Risks: I understand, acknowledge, and accept that Family Room Chicago LLC operates during select hours as an unstaffed, unmonitored facility. I recognize that there will be no employees, medical personnel, first-aid coordinators, or physical staff members on site during these hours. I explicitly choose to enter and utilize the facility under these conditions and voluntarily assume all physical, environmental, medical, and property risks—known or unknown—for myself, my guests, and any juveniles brought into the facility under my account profile.

2. Sole Supervision and First Aid Responsibility: I acknowledge that Family Room Chicago LLC does not provide childcare, supervision, or safety monitoring during autonomous hours. I assume full, exclusive responsibility for administering first aid, utilizing on-site safety equipment (such as fire extinguishers or AEDs), and contacting local emergency authorities (911) via my personal mobile device should a medical emergency, fire, severe weather tracking, or safety threat occur while I am on the premises.

3. Compliance with Secure Procedures: I agree to strictly abide by all security protocols, lock verification routines, and facility closing checklists. I accept absolute liability for ensuring the facility door securely locks behind me upon entry and exit, and I promise to report any structural damage, hygiene hazards, or broken equipment via the designated digital support channel immediately.

4. Complete Waiver of Lawsuit and Third-Party Release: I hereby forever release, discharge, indemnify, and waive my right to bring suit, initiate legal action, or pursue claims against Family Room Chicago LLC, its managers, directors, members, insurers, land-owners, and agents for any personal injury, illness, contraction of infectious diseases, property loss, theft, or wrongful death occurring on our premises—including any claims founded upon the actions, omissions, or misconduct of other members or third parties accessing the space simultaneously without staff supervision. This agreement is structured to be as broad and inclusive as permitted under the laws of the State of Illinois. If any sub-clause is deemed unenforceable by an Illinois court, all remaining provisions continue in absolute force.

12. Extreme Weather & Security Alerts

Our locations are equipped with smart facility locks, emergency backup packs, and direct mobile lines to local authorities. In the event of an unexpected city hazard, our team acts instantly:

  • Severe Weather & Tornado Alarms: Children are immediately moved away from exterior glass lines to windowless inner halls or lowest-level basements. Staff or accompanying caregivers secure emergency packs and mobile tablets for real-time roll check-ins. To maximize safety, we do not dismiss children during active warnings; parents arriving are invited inside to shelter safely with our cohorts until local officials issue an official clear.
  • Neighborhood Activity Alerts: If security concerns occur nearby, our facility activates a Modified Shelter-in-Place loop, locking down all digital facility entries. Doors remain bolted to anyone outside until safety is fully verified. If an uncomfortable threat is observed near our sidewalks, lock mechanisms stay sealed and authorities must be contacted immediately.
Policy Amendments & Governing Law: These terms, agreements, and policies are governed by and construed in accordance with the laws of the State of Illinois, with exclusive venue remaining in the state or federal courts located in Cook County, Chicago, IL. Family Room Chicago LLC reserves the right to unilaterally update, amend, or terminate any layout guidelines, data disclosures, or house frameworks at any time to preserve safety and regulatory compliance. Continued use of our website, apps, memberships, or physical locations following an adjustment constitutes complete acceptance of updated guidelines.
